The role is an essential part of the trust work due to the nature of the administration's support to senior staff.

 This role will primarily support the Executive Office by  ensuring the smooth running of operations, systems, practices, and events and act as a point of contact for stakeholders.
 
●Management of incoming and outgoing correspondence, drafting responses to letters and or emails

●Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)

This is an exciting opportunity to join the Trust .

Summary of Role:

​The post holder will work closely with the D INCLUDE core team, school Principals and attendance officers  to record and monitor attendance (in line with DfE requirements) and work strategically with other staff, children and families within the Trust to reduce overall and persistent absence.
  • Support and embed the Inclusion strategy, holding schools to account in their delivery and aims for attendance.
  • Routinely monitor the attendance of vulnerable students and students who are known to be poor attenders. 
  • Work with other agencies to provide appropriate services for children and young people, including leading on Early Help responses relating to cases of unacceptable absence, making referrals to children's social care, educational psychologists, the careers service etc. where relevant.(With the support of Devon County Council EW Service)
  • Support schools to establish and maintain positive and constructive relationships with families/carers who require more help because their child’s attendance is a concern. This could include daily telephone communication, regular meetings, presence at the school gates and home visits.
  • Where appropriate, to gather supporting evidence to recommend legal proceedings in cases of irregular school attendance, lead legal meetings and prepare reports and to give evidence in Court.
  •  When required, prepare reports for the Principals and represent the Trust as required.

Summary of Role: 
The Exams Officer will work alongside key staff in school (and alongside Exams Officers in other DMAT schools) to set the highest standards of administrative efficiency in support of students and families in what can understandably be a stressful period of some students’ academic career.

  • Be responsible for managing the effective and efficient administration of external examinations in accordance with the Joint Council for Qualifications (JCQ) regulations (on behalf of the JCQ member awarding bodies) and/or awarding body rules for exams administration in a consistent and secure fashion, thereby helping to maintain the integrity of the assessment process. 
  • Be responsible for managing the effective and efficient administration of internal examinations and tests. 
  • Support the Head of centre  in ensuring that the centre is compliant with JCQ regulations and awarding body requirements in order to ensure the security and integrity of the examinations/assessments at all times. 
  • Act on behalf of, and be the main point of contact for, the centre in matters relating to the general administration of awarding body examinations and assessments. 
  • Closely liaise with key stakeholders (external and internal) to ensure exams administration processes are strictly followed and key deadlines met. 
  • Ensure examinations are conducted in accordance with the regulations.

  • Making telephone calls to parents/carers to arrange meetings and advise them of detention arrangements and any first aid issues for their son/daughter.
  • Producing letters for parents/carers.
  • Arranging general meetings for the heads of year to meet with parents/carers, students, external agencies.
  • Updating the School information Management System (ARBOR) with student related information, i.e., detention information.
  • Typing of letters, reports and minutes from meetings.
  • Photocopying, post distribution and filing.
  • Making appointments and reservations for staff at meetings and courses.
  • Providing a main reception service on a rota basis.
  • Answering the telephone, taking messages off the answerphone and  ensuring they are passed to the appropriate person.
  • Support the head of year in chasing up student attendance by contacting parent/carers and talking with students as required.
  • Viewing some student report cards with head of year and confirming that they have been completed.
  • Provide administrative and organisational support for the parents/carers evenings.

Job Purpose 
  • The post holder is responsible for the provision and management of a comprehensive administrative support service at a chosen school in Dartmoor Multi-Academy Trust. 
  • The post is responsible to the Principal to provide effective and efficient day-to-day management of administration at a school in Dartmoor Multi-Academy Trust including line management of school support staff.  To ensure that comprehensive school processes are achieved in the desired timeframes and aligned with the requirements of the Dartmoor Multi Academy Trust. 
 
Main responsibilities 
  • Line management of front office staff, including undertaking annual appraisals. 
  • To be the first point of contact for the Principal in terms of administration functionality across the school.  
  • To take advice and seek support from DMAT portfolio leads with regards to Administration staff functionality across the school and act appropriately on the advice received. 
  • Ensuring all school administration complies with General Data Protection Regulation (GDPR) 
  • To enable all staff, students and parents appropriate levels of access to Arbor and the information it holds, through internal and external facing features. 
  • To resolve queries raised by users of Arbor using internal and external knowledge bases. 
  • Ensure that parents’ evenings are set up and run efficiently. Identify and action cover requirements to ensure the school is well placed in terms of staffing and lessons. Work to identify and solve problems with transition of student timetables throughout the school. 
  • Work with the time-tabler to ensure that teaching and learning works within timetabling parameters for both students and teachers.
  • Monitor the development and implementation of quality procedures and systems throughout the school.  
  • To ensure that reports and assessments are produced in line with the colleges QA calendar  
  • To ensure that the reception is covered at all times and respond to the needs of the school day. 
  • To undertake the Workforce Census for the academy. 
  • To oversee the completion of the school census, 3 times a year, ensuring that it is submitted by the deadlines. 
  • To support the senior leadership team with the organisation of school events.  
  • To undertake professional development and training where required.

Job Purpose: 
The purpose of the role is to work as part of the college intervention team supporting students and to supervise lessons in the absence of the teacher to enable consistency in their learning.  The role will work across a range of subjects as directed and, in addition, as part of the curriculum intervention team to cover lessons, develop some effective classroom practice, work with small groups, one to one support and mentoring of students that need additional curriculum intervention.

Main Duties and Responsibilities: 
  • To undertake whole class supervision in the absence of the class teacher, setting work previously prepared by the teacher. 
  • Liaising with teaching staff with regard to work set for a class.
  • To develop knowledge of the curriculum as required by the College. 
  • To apply the College’s Behaviour Management Policy and report any difficulties to the class teacher/Head of Faculty/Head of House. 
  • Managing the behaviour of students to ensure a constructive environment whilst undertaking their learning. 
  • Deal with any immediate problems or emergencies in accordance with the College’s policies and procedures. 
  • Collect any completed work and resources after the lesson and return them to the teacher. 
  • To set homework previously prepared by the teacher. 
  • To supervise and direct the work of the Teaching Assistant within classes where you are supervising. 
  • Work as an integral part of the College staff and within the Pupil Coach Team and Learning Support Unit, when required. 
  • Reporting back, as appropriate, using the College agreed referral procedures, on the behaviour of students during the class, and any other issues arising. 
  • Support students through intervention, one to one and small group work as directed. 
  • To undertake processional development and training where required. 
  • To accompany students on trips, visits and other educational activities. 
  • To undertake a ‘duty’ as part of the College’s duty system (including break). 
  • Invigilate internal and/or external examinations. 
  • If cover work is not required, to support the Student Support Centre and or other vulnerable students, as a Teaching Assistant. 
  • To support the administration of booking and organising supply teachers when required.

We’re hiring!

We are looking to recruit to one of the most important jobs in our schools – our cleaning teams.

We have 17 schools across our Trust and are looking for flexible, people to clean our schools and colleges, ensuring they are ready for our children and young people to receive the best education. We are flexible about accommodating preferred working hours. We are looking to recruit people to work between 15.30pm and 07:00 am, daily, five days per week. There is a combination of permanent full time and part time roles available. Where full night shifts are worked we are enhancing our hourly rate to reflect the unsociable hours.

Obviously to do a great job, it won’t be all schools in one night! We will agree the cluster of schools to be cleaned on a weekly basis and staff will be responsible for their own travel to and from the locations. So, a full, current driving licence is essential.
There is likely to be a combination of locations the successful candidates will work across on appointment.
